Position Title: Executive Assistant

Grade: 3

Reports to: Executive Director

Contract Type: Full-time

Probation: 6 months

Salary: Competitive

Role Description

The Executive Assistant will provide high-level administrative, secretarial, and coordination support to the Executive Director. The role is critical to ensuring the smooth functioning of the Executive Office and requires professionalism, discretion, and strong organizational skills.

The Executive Assistant will manage schedules, correspondence, documentation, and confidential records, and will support coordination with the Board, senior management, and external stakeholders.

Key Responsibilities

  • Manage the Executive Director’s calendar, appointments, and meetings.
  • Prepare correspondence, briefs, reports, presentations, and official documents.
  • Coordinate Board and senior management meetings, including logistics and documentation.
  • Maintain accurate records, filing systems, and document control.
  • Handle confidential information with discretion and professionalism.
  • Support communication between the Executive Director and internal/external stakeholders.
  • Assist with travel arrangements and official engagements.
  • Perform any other duties that are commensurate with the role and consistent with the evolving needs of SRLS.

Qualifications & Experience

  • Diploma or Bachelor’s degree in Office Administration, Business Administration, Secretarial Studies, or a related field.
  • Minimum of 3 years of relevant experience supporting senior management or executives.
  • Strong computer skills (MS Word, Excel, PowerPoint, email).
  • Excellent written and verbal communication skills.
  • High level of integrity, discretion, and organizational ability.

Confidentiality

This role requires strict confidentiality due to access to sensitive institutional, financial, and personnel information. The confidentiality obligation continues beyond employment.

Mandatory Background Checks

  2. Medical Fitness Certificate
  3. Verification of academic and professional documents
